Your deposit rule
In Settings > Business > Business Rules, choose your Deposit:
- Not required
- Percentage of cost, for example 25%
- Fixed amount, for example £100
The deposit is suggested on each new event from its cost. You can change it on any event in the Financial section.
When the balance is due
In Settings > Events > Balance Due, set how many days before the event the Balance due is. Zero means on the day.
To give one event a different date, fill in Balance due date override in its Financial section.
Payment statuses
The deposit and balance each show a status, worked out from the payments recorded:
- Paid: enough has come in.
- Not Due Yet: the balance isn’t due for a while.
- Due Soon: the balance is due within the next few days. Choose how many days with Show “Due Soon” starting, 7 by default.
- Due: payment is expected now.
- Overdue: the due date has passed.
The payment summary
When you edit an event, the Financial section opens with a summary: the total, what has been paid, the deposit, and the balance outstanding with its due date and status. It updates as you change the costs, before you save.
Reminders
Two automations remind customers to pay, Deposit reminder and Balance reminder. They start switched off: turn them on in Automation and set when they go out. See The automations you start with.
Confirming on deposit
Turn on Require a paid deposit before an event is automatically confirmed in Settings > Business, and an event moves to Confirmed as soon as its deposit is paid, as long as the contract is signed.
