Taking meeting notes

Take structured notes during a consultation call or visit, using your own templates, with action items that appear on your dashboard.

In Leads and enquiriesUpdated

Meeting notes keep what was said on a call or at a consultation with the event, in the same shape every time. Notes save as you type.

Meeting templates

A template decides which questions you fill in. You start with a default template with discussion notes and decisions. Make your own in Communication > Meeting Templates, such as “Initial consultation” or “Final details call”, using the same kinds of fields as your enquiry forms.

Only admins can create and change templates. Employees can use them.

Taking notes

  1. Open the event.
  2. Click Start New Meeting.
  3. Choose whether it is a Call or In Person, the template, who is attending and, for an in-person meeting, where.
  4. The notes page opens. Type as you talk. Everything saves automatically a moment after you stop typing, and the page shows when it last saved.
  5. Add action items for anything that needs doing afterwards, each with a due date.
  6. Click Finish meeting when you are done. This records how long the meeting lasted.

You can reopen a finished meeting to add to it.

Changing a template doesn’t change old notes. Each meeting keeps the questions it was taken with, so last month’s notes still make sense after you edit the template.

Finding notes later

Every meeting is listed on the event’s Meetings tab, with when it happened and how long it took.

Action items on your dashboard

Open action items from every event appear in the Open Action Items list on your dashboard. Tick one off there when it’s done. Employees only see action items for the events they work on.

Meeting notes are only ever seen by your staff, never in the client portal.
