A lead is an enquiry you haven’t turned into a booking yet. Leads keep your pipeline separate from your real bookings, so your calendar and reports only show dates that are actually happening.
Where leads come from
- Your website: every submission of an enquiry form creates a lead. See Building an enquiry form.
- You: add one by hand for a phone call, a wedding fair or a message on social media. See Adding a lead by hand.
When a new lead arrives, admins get a browser notification and an email. That comes from the New lead automation, so you can change who is told, or switch it off, in Automation.
The stages
- Lead: a fresh enquiry nobody has dealt with yet.
- Qualified: you have checked it out and it is worth pursuing.
- Meeting Scheduled: you have booked a call or meeting. You can record when.
- Awaiting Decision: you have sent a quote and are waiting to hear back.
- Date on Hold: you are holding the date for them for now.
- Booked: they have confirmed. This is set for you when the booking becomes real.
- Event Completed: the event has happened. Also set for you.
- Lost: it didn’t go ahead. A reason is always recorded.
To move a lead along, open it and click Update Status. You don’t need to open the full edit form.
Statuses that update themselves
Once you convert a lead into an enquiry and send a quote, the lead keeps itself up to date:
- Sending the quote moves the lead to Awaiting Decision.
- When the customer confirms the quote, or you move the event on to Awaiting Deposit, Awaiting Contract or Confirmed, the lead becomes Booked.
- When the event is completed, the lead becomes Event Completed.
- If the event is cancelled, rejected or fails, the lead becomes Lost.
Finding leads
The Leads list shows each lead’s contact, date, times, phone and source, newest first. Search finds a lead by any word in its name, email, venue and more. Filter by status or lead source, and sort by when it was received or by event date. A lead at a blacklisted venue is flagged in red.
Who can see leads? Only admins. Employees don’t have access to leads at all.
