Cancelling
When a booking is called off, set its status to Cancelled. Open the event, change Status in the Details section and save.
A cancelled event:
- disappears from your calendar, calendar feeds and Google Calendar
- frees up any equipment it had reserved
- is skipped by any automation limited to other statuses, such as a balance reminder set to run only for Confirmed events
- marks its lead as lost
- stays in your records and reports, with its payments and contract
If the customer is owed a refund, refund them through Stripe or your bank, then record it in the event’s transactions so your figures stay right.
Deleting
Delete an event only if it was created by mistake. Events with history can’t be deleted, because removing them would leave payments and invoices pointing at nothing. An event is kept if it has:
- a signed contract
- completed payments
- an invoice, including a staff remittance that covers it
When you try, the delete window tells you what is stopping it and suggests cancelling instead.
Deleting customers
The same applies to customers: one with events, leads, equipment hires or invoices can’t be deleted. If they have asked you to remove their personal details, anonymise them instead. See Exporting or anonymising a customer’s data.
