Syncing with Google Calendar or another calendar app

Push your bookings to Google Calendar within seconds, or subscribe to a private feed from Apple Calendar, Outlook or any calendar app.

In Bookings and calendarUpdated

There are two ways to see your bookings in another calendar. Both are set up in Settings > Calendar, and both are one way: changes you make in the other calendar don’t come back.

Google Calendar

Bookings are added to your Google Calendar and kept up to date. A change to a booking usually reaches Google within a few seconds.

  1. Go to Settings > Calendar.
  2. Click Connect Google Calendar and sign in to your Google account.
  3. Back in Mobile DJ Manager, click Sync settings to choose:
    • Calendar: which of your Google calendars to use. A separate one for bookings is a good idea.
    • Which events: All events for this business, or Only events assigned to me.
    • Statuses to sync: for example, only Confirmed bookings.
    • Detail level: see below.

Use Sync now if you want to push everything straight away. Disconnect stops the sync.

Events from the last 30 days onwards are synced, however far ahead they are. An event that is deleted, cancelled or moved to a status you don’t sync is removed from Google.

Calendar feed for any app

Each admin has a private feed address to subscribe to in Apple Calendar, Outlook, Google Calendar or a phone calendar.

  1. In Settings > Calendar, copy Your feed URL.
  2. In your calendar app, add a calendar “from URL” or “by subscription” and paste it in.

Calendar apps check a feed every few hours, so changes take longer to appear than with the Google connection. The feed lists events from the last 12 months onwards.

Keep the feed address private. Anyone with it can see your bookings. If it gets out, click Regenerate URL and the old address stops working.

What each entry shows

Both have a Detail level:

  • Full details: customer, venue and status.
  • Busy only: the time is blocked out with no booking details, which is handy for a family calendar.
  • Custom: choose exactly what is included, from the event type and name to the customer’s phone, the venue address, the staff working and a link to the event.

Set them separately with Sync settings for Google and Feed settings for the feed.

Who can use it

Both live in Settings, so only admins can set them up at the moment. Each admin connects their own Google account and has their own feed.
