Every account comes with a set of automations so the essentials happen from day one. Change any of them, or switch them off, in Automation.
Switched on
- New lead: when a lead comes in, a browser notification and an email to your admins. The enquirer isn’t emailed, because your form already thanks them.
- Quote accepted: when a customer confirms their quote, a notification and an email to your admins.
- Send contract: when a customer confirms their quote, the contract is emailed to them. Switch this off if you prefer to send contracts by hand.
- Contract signed: when a contract is signed, a notification to your admins and the staff on the event, an email to your admins and a thank-you email to the customer.
- Booking confirmation: when an event is confirmed, a confirmation email to the customer and an email to your admins.
- Deposit received, Balance received and Other payment received: a notification and email to your admins, then a thank-you to the customer showing what they paid and what’s left. Each uses its own email template, so you can word them differently.
- Mark events completed: moves events to Completed after they finish.
Switched off until you are ready
- Deposit reminder: reminds customers whose deposit is still due.
- Balance reminder: reminds customers before the balance is due.
- Fail stale enquiries: fails enquiries that are still open after a set time, to keep your pipeline tidy.
Check the timing and the wording of each before you switch it on.
Changing the wording
The payment automations send the Deposit Received, Balance Received and Payment Received templates. Change the wording in Communication > Email Templates.
The others have their wording in the email step itself. Click the step on the canvas to edit it, or choose one of your templates instead.
