Sending an email and the communications log

Email a customer from a template or from scratch, and see every email you have sent, with opens, clicks and anything that failed.

In Email and automationUpdated

Sending an email

  1. Click the email shortcut in the top bar, or go to Communication > Communications and click Compose.
  2. Choose who it’s to, and the event it’s about if there is one.
  3. Pick a template, or write the subject and message yourself. Content tags work here too.
  4. Attach files if you need to.
  5. Tick send me a copy if you want one.
  6. Send.

The communications log

Communication > Communications lists every email sent to your customers and staff, by you or by an automation, with:

  • who it went to and the event it was about
  • where it came from, such as “Quote sent” or “Automation: Booking confirmation”
  • its status

Open one to see exactly what was sent, including attachments such as invoice PDFs.

The same emails appear on each event’s History tab.

Statuses

  • Sent: handed to our email provider for delivery.
  • Opened: the customer has opened it, at least as far as their email app lets us tell.
  • Failed: it couldn’t be sent. Hover over the status, or open the email, to see why.

Clicks on links are recorded too, so you can tell when someone has looked at their quote or contract.

Opens aren’t exact. Some email apps, including Apple Mail, load emails automatically, so an email can show as opened before anyone has read it. Others block the tracking, so a read email may never show as opened.

Customers with no email address

Customers imported without an email, or anonymised ones, get a placeholder address that is never sent to. An email to them is logged as Failed with “No email address on file”, and buttons that would send them something are hidden. Add a real address with Change email on the customer.

Who can see the log

Only admins. The log includes invoices and staff remittances, so employees don’t have access.
