Email templates and content tags

Write reusable emails with content tags that fill in each customer's details, then use them by hand or in automations.

Email templates are emails you write once and reuse. Find them in Communication > Email Templates. You start with templates for quotes, booking confirmations, reminders, invoices, payments received and more.

Writing a template

  1. Go to Communication > Email Templates and open a template, or create a new one.
  2. Enter the subject.
  3. Build the body from blocks: headings, text, buttons, images, dividers, spacers and columns. Some blocks show booking details for you, such as an event summary or a payment summary.
  4. Watch the preview beside the editor. It fills the tags in using your most recent event.
  5. Send yourself a test to see it in a real inbox.
  6. Save.

Content tags

Tags are words in curly brackets that are swapped for real details when the email is sent. They work in subjects, email bodies, contracts and button links. Some of the most useful:

  • Customer: {client_firstname}, {client_fullname}, {client_email}, {client_primary_phone}
  • Event: {event_name}, {event_type}, {event_date}, {start_time}, {end_time}, {event_status}
  • Venue: {venue}, {venue_full_address}, {venue_contact}
  • Money: {total_cost}, {deposit}, {deposit_remaining}, {balance}, {payment_amount}, {event_package}, {event_addons}
  • Staff: {employee_fullname}, {employee_firstname}
  • Links: {application_home} for the portal, {quote_url}, {contract_url}, {quote_expiry_date}
  • Your business: {company_name}

There are around ninety. The editor lists them all. A tag that doesn’t apply, such as a venue tag on an email with no event, comes out empty.

Tip: use a Button block with {quote_url} or {contract_url} as its link to give customers something big to tap.

Where templates are used

  • Compose: pick a template when sending an email by hand. See Sending an email and the communications log.
  • Automations: an email step can send a template. See Building an automation.
  • Quotes, invoices and reminders use the Quote, Invoice and Invoice Reminder templates.
  • Enquiry forms send a template to thank people for their enquiry.

Every email uses your email style for its logo, colours and footer. See Styling your emails and PDFs.
