Recording a payment

Record cash, bank transfers and other payments against an event, and the deposit and balance update by themselves.

In Quotes, contracts and paymentsUpdated

Card payments through Stripe are recorded for you. Anything else, such as a bank transfer, cash on the night or a cheque, you record yourself.

Recording a payment

  1. Open the event and go to the Transactions tab.
  2. Click to add a transaction.
  3. Fill in:
    • Direction: Income, for money in.
    • Type: Deposit, Balance or another type.
    • Amount and the date it was paid.
    • Method: Cash, Cheque, Bank Transfer, Card, PayPal or Other.
    • Status: Completed for money you have received.
  4. Save.

You can also use Take Payment in the top bar from anywhere.

What happens next

The event’s deposit and balance are worked out from its completed income, so as soon as you save:

  • the payment summary on the event updates
  • the deposit shows as Paid once enough has come in
  • the event moves to Confirmed if this paid the deposit, the contract is signed and Require a paid deposit before an event is automatically confirmed is on
  • the payment automations run: by default your admins are told and the customer gets a thank-you email showing what they paid and what’s left

Pick the right Type: the Deposit received, Balance received and Other payment received automations each send their own email.

Mistakes

Edit or delete a transaction to put it right, and the figures update. Editing a card payment here doesn’t refund it in Stripe: do that in your Stripe dashboard.

Payments against invoices

If you raised an invoice, record its payment from the invoice with Record payment so the invoice shows as paid. See Creating and sending invoices.
