Sending the contract
There are two ways:
- Automatically: when a customer confirms their quote, the Send contract automation emails it to them. This is on by default.
- By hand: open the event and click Send Contract. Do this if you have turned the automation off or the customer didn’t come through a quote.
The button changes as things move on: Send Contract, then Resend Contract once it has gone, then View Contract once it’s signed.
The email contains a link to the contract that works for 30 days. If it runs out, send it again for a fresh link.
What the customer does
- They click the link in the email.
- If they haven’t got a password yet, they create one. Their name is filled in and their email is shown.
- They read the contract, answer any questions on it, type their name and tick two boxes to accept.
- They draw their signature with a finger or mouse and sign.
If the deposit isn’t paid yet, they then see a short message from you, with a button to pay the deposit straight away. Write that message in Settings > Payments > After Signing.
What happens when it’s signed
- The event moves to Confirmed if the deposit is already paid, or Awaiting Deposit if not.
- The Contract signed automation lets your admins and the staff on the event know, and emails the customer a thank-you.
- The signed contract is saved with the signature, the name typed, the time and the device’s IP address. It can’t be changed afterwards.
Open the event and click View Contract to see the signed copy, with the customer’s answers underneath.
No payments before signing
While a contract is waiting to be signed, the customer can’t pay from their portal. They see a prompt to sign first. This keeps people from paying a deposit for a booking they haven’t agreed to.
