Setting up contract templates

Write your contract once with content tags for the booking details, add your own questions, and preview it exactly as customers will see it.

Contract templates live in Events > Contract Templates. You start with a Standard Booking Contract to adapt.

Your terms are your responsibility. The starter contract is a starting point, not legal advice. Read it carefully and change it to match the way you work.

Writing the contract

Build the contract from blocks: headings, text, lists and so on. Use content tags wherever you want the booking’s details, and they are filled in when the customer reads and signs it. For example:

  • {client_fullname} and {client_full_address}
  • {event_date}, {start_time} and {end_time}
  • {venue} and {venue_full_address}
  • {event_package}, {total_cost}, {deposit} and {balance}
  • {company_name}

The full list is shown in the editor. See Email templates and content tags for more about tags.

The signature panel is part of every contract. You can move it, but you can’t remove it.

Your own questions

Add fields the customer fills in when they sign:

  • Text and Textarea for answers like special requests
  • Checkbox, for example “I have read the venue’s noise policy”
  • Select, with your own options
  • Address, as five separate lines

Make any of them required, and add help text.

Linked fields

A text field can be linked to the customer’s name, phone numbers or address, or to the event’s name or the customer’s own notes. It is filled in from your records, and whatever the customer enters is saved back. It’s an easy way to collect up-to-date contact details.

Start and finish times can be shown, but customers can’t change them. Dates, venues and prices can never be changed by signing.

Previewing

Click Preview to open the contract in a new tab, exactly as a customer sees it before signing, using your most recent event’s details.

Choosing a contract for an event

Set the template in the event’s Contract section, or choose it when you send the quote. If you only have one template, it is used automatically.
