Sending a quote

Email a quote with a link the customer clicks to confirm their booking, with your brochure attached and the contract sent automatically.

In Quotes, contracts and paymentsUpdated

A quote is an email with a link to a page showing the package, add-ons, costs, total and deposit, and a Confirm my booking button. When the customer clicks it, the booking moves on by itself.

Sending one

  1. Open the event. It needs to be at Unattended or Enquiry, and the customer needs an email address.
  2. Click Send Quote.
  3. Check the three choices:
    • Email template: your Quote template is chosen for you.
    • Brochure: a PDF to attach, such as your price list. The event type’s brochure is chosen, or your default one.
    • Contract template: the contract the customer will sign once they confirm.
  4. Send.

When creating an event, Save & Send Quote does the same in one click with the default choices.

Sending a quote moves the event to Enquiry and its lead to Awaiting Decision.

What the customer sees

The quote page shows your logo, the details of their booking, the price and the deposit. It is valid for a set number of days, 14 unless you change it. While it is valid, they can click Confirm my booking.

Once they confirm:

  1. The event moves to Awaiting Contract and the lead to Booked.
  2. Your admins get a notification and an email.
  3. The Send contract automation emails them the contract to sign. If no contract can be sent, for example because you have several templates and none was chosen, your admins are asked to send it.
  4. A customer who hasn’t set a password yet is asked to create one, then taken straight to their contract.

Sending it again

Sending a new quote makes a new link, and the old link stops working. Do this if you change the price.
