When you can’t take a booking

Mark a lead as unavailable to let the customer know politely, or mark it lost with a reason so your reports show why.

In Leads and enquiriesUpdated

If you are already booked or can’t do an enquiry for another reason, close the lead off properly. Your Leads report then shows where enquiries are being lost.

Mark as Unavailable

Use this when you can’t do the date.

  1. Open the lead.
  2. Click Mark as Unavailable.
  3. Choose the email to send. The Unavailable template is picked for you. Choose a different template if you have written your own.
  4. Confirm.

The lead moves to Lost with the reason “Unavailable”, and the customer is sent the email. If you had already converted the lead and sent a quote, that enquiry is rejected too, so the quote link stops working.

Marking a lead lost for another reason

When the customer goes elsewhere or stops replying:

  1. Open the lead and click Update Status.
  2. Choose Lost.
  3. Enter the Lost reason, such as “Went with another DJ” or “Budget”. A reason is required.
  4. Save. No email is sent.

Withdrawing other quotes when a date is booked

If several couples are looking at the same date, you can have Mobile DJ Manager tidy up for you. In Settings > Events > Quotes, turn on Withdraw other quotes when a date is confirmed. When one booking on a date becomes Confirmed, every other unconfirmed event on that date is rejected, its quote stops working and its lead is marked lost. Customers aren’t emailed, so you can let them know in your own words.

If someone on a withdrawn event has already paid, it stays rejected and your admins are notified, so you can decide about a refund.

Removing an enquiry for privacy reasons

If someone asks you to delete their details, open the lead and use Erase enquiry (GDPR). This is for leads that never became a customer. For customers, see Exporting or anonymising a customer’s data.
