Adding a lead by hand

Record an enquiry from a phone call, a wedding fair or a social media message so it joins your pipeline.

Not every enquiry comes through your website. Add the rest by hand so nothing slips through.

Step by step

  1. Click New Event / Lead in the top bar, or go to Leads and click New lead.
  2. Choose the Customer. Start typing to find someone who has booked before, or click + to add a new customer. Adding one here doesn’t email them anything.
  3. Fill in what you know so far. Everything else is optional, because a lead can exist before the details are settled:
    • Event type, date, start and finish time
    • Venue
    • Package and add-ons, to give you an estimated price
    • Lead source, such as Facebook or a wedding fair
    • Notes the customer told you, and internal notes only your staff can see
  4. Set the Status. New leads usually start at Lead.
  5. Click Create.

Picking a venue

When you choose a venue, a summary appears under it with its photo, anything it is flagged for and a link to the venue. If the venue is on your blacklist, you see a warning and the reason. It doesn’t stop you saving: you decide.

Leads from your forms

Leads from your enquiry form are created for you, with the person’s contact details stored on the lead. They aren’t added as a customer until you convert the lead or pick a customer on its edit page, so a one-off enquiry never creates an account. See Turning a lead into a booking.

What happens next

The New lead automation lets your admins know a lead has arrived. From the lead’s page you can:

  • Update Status as you follow it up
  • Convert to Enquiry when you are ready to quote
  • Mark as Unavailable if you can’t do the date. See When you can’t take a booking.
